    Oral presentation
  1. Presentation time is 25 min. including 5 min. discussion.
  2. The conference PCs and projectors will be set up in advance.
  3. If you bring your computer, please confirm your laptop has HDMI ports. Then, you can use your computer for the presentation.
  4. Or please bring your presentation data in USB memory. Then, you can use the conference computer for the presentation.
  5. All presenters should meet the session chairs 10 minutes before the session begins to have a briefing.
  6. Commercial contents should be avoided.
    Poster presentation
  1. Basically the poster format is up to the authors as long as the poster size fits in a tack-board panel of 2.1m high x 0.9m wide, i.e. the A0 (1.2 x 0.8 mm) size is preferable.
  2. Pins and thumbtacks will be provided at the poster session venue.
  3. All the figures, tables, photographs, and characters must be clearly visible at 1.5m away from the poster.
  4. The poster contents must follow those presented in the abstract.
  5. Commercial contents should be avoided.
  6. Give clear display of the poster title, authors' names, and affiliations on the top of the poster.
  7. The authors should stay close to the posters for interactive presentations to the attendees.
  8. Presenters must stay in front of their poster during designated core time.

«Important Notice»

  • All contributed authors are required to submit a final 2-page paper of their work for publication in the conference proceedings.
  • Papers that do not follow the instructions shown below will not be published in the conference proceedings.
  • The copyright of the paper must be transferred to JIEP (The Japan Institute of Electronics Packaging) at the time of the final submission.
  • Only the papers submitted by due date will be considered for the conference awards.

  • Submit your final manuscript by January 30, 2026.
  • The submission page will open during January 10, 2026 to January 30, 2026.

1. Before you begin

The authors are highly recommended to use the following IEEE format: Download

2. Paper preparation

1) Final manuscript must fit in two pages, including figures, tables, and photographs.

2) It is the responsibility of the author(s) to obtain permission from the copyright owner(s) to reproduce figures (or tables) that have previously been published elsewhere.

3) Preparation of IEEE Xplore-compatible PDF file Final version of 2-page paper pdf files MUST be IEEE Xplore compliant. It is strongly recommended that you use the IEEE PDF eXpress plus site to convert your Word Document file to the PDF format. PDF files that are not IEEE Xplore compliant will not be included in the Proceedings nor published.

3.1 Please go to the IEEE PDF eXpress plus

3.2 Create an IEEE PDF eXpress account for ICEP-HBS 2026 by entering the conference
ID: xxxxxx

  • New users should follow the appropriate link to fill in the required information for creating a new account.
  • Previous users of IEEE PDF eXpress can use their existing email Address and password.

3.3 For each conference paper, click 'Create New Title'.

3.4 Enter identifying text for the paper (Paper Information).

3.5 Upload the required file for generating an IEEE Xplore-compatible pdf.

  • Submit your source file in MS Word (.doc) format for conversion to pdf format.

3.6 You will receive the IEEE PDF eXpress-generated pdf file through your IEEE PDF express account. Your paper will get a unique ID code as the file name. Download the pdf file and check it carefully. If necessary, revisions of the source file may be submitted repeatedly.

3. For oral presenters

1) The speakers are highly recommended to complete their registration by March 27, 2026.

2) Oral presentation is for 25 minutes, including 5 minutes for Q&A.

3) Commercial contents should be avoided.

5) The authors should meet the session co-chairs 10 minutes prior to the beginning to have a briefing.

4. For poster presenters

5. Conference awards

    Excellent papers and presentation are recognized through the following awards:

  • JIEP Outstanding Technical Paper Award
  • IEEE EPS Japan Chapter Young Award
  • JIEP Poster Award

6. Author No Show Policy

ICEP-HBS 2026 enforces a "no show" policy. Any accepted paper included in the Advance or Final Program is expected to have at least one author attend and present the paper at the conference.
Authors of the accepted papers included in the Advance or Final Program who do not attend the conference will be listed in a "No Show List", compiled by JIEP. Any "no-show" paper will be noted as "Author unavailable for presentation" and will not be included in IEEE Xplore.
